PROXESS for Office 365

The integration of PROXESS into the Office 365 suite offers simple and fast ways to archive documents and information from your own working environment in the central company archive in a legally compliant manner. To make manual filing and indexing quick and convenient, you are supported by many helpful tools.

Archive Office 365 documents quickly and in a legally compliant manner

Information and agreements that were previously handled in writing via mail or fax are now almost exclusively managed by email. With our PROXESS for Office 365 module, you can archive emails and their file attachments from Outlook 365 individually in the central company archive.

Other individual Office 365 documents, such as correspondence, presentations, spreadsheets, etc., can also be sent directly to the archive from within the app.

Avoid forwarding documents to colleagues—and the duplicate or multiple storage that comes with it. Even during vacation periods or in case of illness, colleagues can quickly find all important information and, if needed, continue working on it.

The integration of the archiving function is very easy via the respective add-in menu.

Archiving in the original file format

Office documents, emails, and their attachments are archived in their original format. Archived emails can be reopened with Outlook and resent. Archived Office documents can be further edited and versioned.

Real-time archiving

All archived Office documents are immediately available in the archive and can be found by colleagues.

Familiar indexing templates

When archiving, you can rely on the familiar document-type-specific archiving templates that you already know from the PROXESS Web Client.

Intelligent support for indexing

Filing templates for recurring filing scenarios, known as PROXESS quick filing options, support you with indexing. You can also access master data records from your leading IT system.

Archived emails are tagged

Archived emails are automatically labeled as “archived.” This also allows you to view all archived emails in your Outlook account at a glance.

Legally compliant storage of emails

By archiving emails and attachments in the PROXESS archive, they are stored in a legally compliant manner. This is not the case when simply moving emails to the archive integrated in Outlook.

Available for app and desktop versions

The use of add-ins for Word, Excel, PowerPoint, and Outlook is possible both within the respective app and in the desktop version of Office 365.
