What is a DMS?

A document management system refers to the database-supported management of digital documents. The goal is to make all documents and receipts accessible to authorized personnel throughout the company, regardless of location, and as automatically as possible, while simultaneously archiving them in a legally compliant and GoBD-compliant manner.

In practice, this means that all documents, regardless of their form, from paper receipts to PDF, Windows or other file formats, to documents from connected systems such as ERP, CRM or accounting, are brought together in a common archive.

Indexing documents creates an organized, digital archive. Digital documents with recognizable indexing are automatically assigned and stored. Documents transferred to the archive from connected IT systems are also transferred via interfaces with the appropriate index data. The system typically provides functional support for any necessary manual indexing.

All archived information and documents can then be found within seconds using keywords, a full-text search, or by process. All authorized users have access to the archive and documents via personalized login, usually through a web client or an app on a smartphone or tablet.

Integrated file viewer

Over 50 different file formats are displayed directly in the browser. Documents can be zoomed, rotated, printed, emailed, and exported. Emails and file attachments—just like all other formats—can be downloaded and edited in their original format. Extensive full-text search functions are also available within a document.

GoBD-compliant work with documents

Archived documents and files can be annotated, printed, downloaded, or sent via email. Each edit is archived as a new file version. This ensures the original file remains unchanged and guarantees legally compliant archiving.

MS Office and Office 365 integration

Our Office integration supports you in the individual archiving and retrieval of documents within your personal work environment. Documents can be archived directly from Microsoft Office and Office 365 programs, or even directly from Windows Explorer. With the ad-hoc search, you can simply highlight a search term on the desktop and then search the archive.

Convenient and intelligent search functions

The quick search, similar to Google’s, simultaneously searches metadata and document content. Automatic keyword completion helps you enter search terms simply and effectively. With path search, you can navigate through hierarchical directory paths to find a document. For each document found, you can directly initiate a new related search or further refine the search. The intelligent document radar displays all documents related to a process at a glance.

Easy archiving via drag & drop

Simply drag and drop documents into the archive for archiving. For recurring filing scenarios, individual quick filing folders with pre-populated index fields are set up.

Set up an individual work environment

Users have different needs for the archive. Simply set up your personal search masks and hit lists, or choose from the general company templates.

Integration into the familiar work environment

Automatically archive outgoing documents from your ERP system in PROXESS via a standard interface. The metadata is automatically linked to the document as index terms and transferred to the archive.
